Power BI Dashboard in Dynamics CRM

  • 1.  Power BI Dashboard in Dynamics CRM

    I created a new dashboard in Dynamics CRM including some Power BI tiles, the users I gave access to are unable to view any of the data.

    Do they have to have Power BI license to view these reports in dynamics crm? Please advise.

    Hi Geethika,

    We have recently done a similar thing and it's working great. We are CRM 2016 on premise.

    We added it as an iframe and assume you are doing the same.

    You need to create it as a system dashboard and allow cross site scripting. This setting can't be turned off for user dashboards.

    Then, all users need to have at least a PRO license as far as I know. As we are trialling it, we just signed them up for trial licenses, but are about to move to normal licenses now.

    The free licenses that come don't do much. You will need the user would need the PRO license.

    We have CRM online and I could directly add the BI report in there and see it for myself in dynamics. Not for other users, BI pro license might resolve this.

    Hi Geethika

    You need to make sure you have completed ALL three of the following:
    1. Assigned Power BI Pro licenses to all the users who need to see it
    2. Shared the Power BI reports and dashboards with the same users in the Power BI service (i.e. www.powerbi.com)
    3. Shared the dashboard inside Dynamics 365 with the users
    I am assuming you have used the built-in functionality in the dashboards for showing the Power BI visuals. There are some exceptions if you have used manual form edits in Dynamics 365 to show the Power BI visuals, or is on Power BI Premium, but based on your question it does not sound like those apply.

    Your users will need Pro licenses. Which is a bit of a pain.

    One thing I would say re displaying PBI in Dynamics, we did this initially (and also added to Teams) but pretty quickly found that, in most cases, the user experience was much better if we just sent users to a standard PBI report, and told them to bookmark it.

    @Donal McCarthy - I agree with you that it's a pain. Ideally, I would like to see the internal reporting "engine" of Dynamics 365 to be replaced with Power BI. For example, if a user with specific security rights clicks on "New" to create a new dashboard, this would load the blank canvas of the Power BI online service. The datasets would already be available in the form of the Dynamics 365 entities. Then the user could create their own custom interactive dashboard.

    The above is a generalization or over-simplification, but I believe you get the idea.

    The biggest issue I have is that to get a Dynamics 365 / Power BI dashboard in Dynamics 365, you have to first get the data out of Dynamics 365 into Power BI, create your visuals, etc and then display "embed" it back into Dynamics 365. Seems like a round about way of doing a simple thing.

    @Ulrik Carlsson tool in the XrmToolbox ​​has helped simplify the process of getting friendly data into Power BI and the process is quick.

    Ideally I would prefer this too, but most of users are constantly in Dynamics and would prefer viewing data from there than having to go to another tab(Which in my opinion isn't a big deal).

    @Aaron Back, MCSE - I think you're probably right about the likelihood of it not happening. One thing they could do is make it a lot easier to work with Dynamics data in PBI, e.g. take @Ulrik Carlsson's XRM Toolbox solution and bring it to the masses. ​​
