Team Ownership of accounts and contacts - Flow

  • 1.  Team Ownership of accounts and contacts - Flow

    We would like to have contacts and accounts owned by teams so multiple users can have the information sync'd to Outlook at phones.  We understand how to reassign all records, but we want to keep individual ownership of opportunities.

    Is this possible using Flow or a workflow in CRM.  The goal is to change all accounts/contacts as well as new ones once they are created as I do not believe we will be able to have consistency in users changing the owner when the contact or account is created.

    Hi Travis,

    Here I see two different activities you need to do

    Existing Records: You can create a flow to update the owner, but this flows has some time limit. So this may fail if you have huge data. So run flow from the views selecting all records in batch.

    I suggest using workflows, Console application.

    New Records: Instead for triggering a workflow/flow for every creation. create a business rule which will change the owner and make owner field as Readonly.

    Hi Travis

    As this sounds like an ongoing requirement, you can change the relationship behaviour of the relationship rather than creating a flow to assign records back. - you need to do this in the legacy UI

    In the solution, go to the entities>opportunity>n:1
    Open each of the parental relationships (opportunity_parent_account & opportunity_parent_contact).
    Change Type of behaviour from "Parental" to "Configurable Cascading" then change Assign to "Cascade None"

    You may also need to check for other relationships where reassigning cascades
