Price lists and quotes

    Dear all,

    In my organization we are not working with Quotes and Price lists, but are using all sort of different Word and Excel sheets to make quotes. In order to standardize and reduce manual pricing errors within the Region, we are investigating to start using Quotes and Price lists in Dynamics 365. However, because I have no knowledge about this, I would like to ask your expertise for the following:

    1) is it possible to create a general price list for all accounts and then
    upon creating a quote, each account can have a different price based on the general price list, for example by means of a discount % or eur/kg?

    2) is it possible to build in an approval step (sales guy needs to approve price), before linking the discounted price from the price list to the quote? or is it better to build in the approval step after creating the quote, but before finalizing and sending the quote to the customer?

    Hope someone has some ideas about this.

    There's a built-in feature of Discount and Discount List that comes close to accomplishing number 1, but you may need a custom entity and custom code to do exactly what you want. The Discount/Discount List feature is more around quantity discounts. You set a low quantity and high quantity so that the system will apply a discount based on the qty at the quote product level. It sounds like you want to assign certain levels of discounts on a per-customer basis. To do that you could have a custom Discount Group entity that would contain different levels of discounts. Then you could have a lookup field on Account that specifies which Discount Group applies to that customer. Code would then be used to apply the correct discount for that customer when a quote is created.

    For number 2 I think it's a matter of preference. I think you could use status reason to track where the quote is in the approval process. Maybe have reviewers use an advanced find view to see quotes ready for approval and then they set the status to approved after they look at the quote and decide if the discount that has been applied is appropriate.

    OOTB functionality provide enough for your requirements if you use separate price lists and CRM's pricing engine.

    Create a "Retail" price list with your standard pricing for all products. For your different pricing levels, create separate price lists (example: You could have "Dealer price list" that has the entire product catalog but at 10% discount of the retail price). Then at the account level in CRM, set their price list accordingly. Map the price list from Account to all related sales entties: opportuntiies, quotes, orders, invoices so the price list set on the Account level will be used on their related sales records. Then setup field security on the "Price List" field on Accounts and on the Quote form to allow certain users the ability to change this value case by case.

    The Price list set at the header level will be used in CRM's pricing engine when you add line items.

    For your approval requirement, I would suggest leveraging a Business Process Flow and reassignment of the quote at a particular stage to the "approver" .
