BPF Not Updating Status

    H​ello Everyone!

    Looking for help on an issue my team is facing. We have a business process flow that takes our Potential Member or Partner record and creates a Contact. When the Contact record is created the Potential Member record is supposed to change its status to qualified, but the last month it suddenly stopped working. There is only the BPF that runs and no workflow that I can see. The only steps on the BPF are to check required fields are filled out, so I feel I'm missing something. I have a workflow that I've been running manually (on demand) to change the status to qualified, but I need a permanent solution. I am somewhat new to CRM workflows and BPFs so any help is appreciated.

    Kaitlin - Check the Workflow to see who the owner is. If the owner of the workflow has a disabled User Record, then this can cause the workflow to fail. I would suggest creating a CRM Service account to be the owner of the workflows.

    ​Hi Aaron, I am the owner of the workflow/BPF (I own all of them). I could create a Service account and make that the owner. I also want to note that this is happening in our Production and Sandbox instance. thanks!

    ​Does it validate okay?  Anything in the logs with errors for that BPF?

    Hi Kaitlin,
    Is your BPF a custom one or out of the box?  If its out of the box, there might be something running automatically that you won't be able to see (I had this recently on the opportunity entity).

    Its also worth checking if there are any dependencies on the Status field on Potential Member.  Go into the solution layer, open the Status field and click on the Show Dependencies button to see what is listed.

    This is a custom BPF and there are no dependencies.

    Thanks for the reply! The BPF has no errors and shows as running fine on the records, but clearly it isn't fully doing what it is supposed to do. :(

    I am currently learning CRM and studying BPF and work flows but I would like to try and help. If I read your post correctly, you have a BPF that should verify fields and changes a status to qualified. However, it is not changing the status now.  The current BPF only lists the verifying  steps and has no workflows. You have a manual workflow that works to change the status.

    Could the workflow in the BPF been removed or some how the wrong BPF is being used? Both I can see happening very easy.

    I am thinking you can add the manual workflow to your BPF to get it to work.

    ​Hi Brant,

    I appreciate your response and I am using a manual workflow to solve the issue for now. However, I'm happy to say that another CRMUG member was able to assist me in fixing this issue! I navigated to the solution-entity (potential member)-field (statuscode-which was tricky to figure out what field it was)-show dependencies- here I found the workflow actually running which was not the one i thought it was. Opening the workflow I found that there were errors and properties were missing on a few steps. After correcting those I was able to activate the workflow and it is now qualifying members!

    I can't thank everyone enough for taking the time to help me out with this!
