1.  Dialog That Updates Several Records and performs other actions

Posted 9 days ago
My problem: I need to reassign Accounts to new users once a year and then have two other fields on the Account record changed based on the new owner.

I was thinking that a dialog would work for this using the following process but trying to figure out how.

1) Query Accounts by specific owner (owner would be a variable)
2) Select a new owner
3) Update records set (step 1) with new owner
4) Provide list of related Sales Assignments based on new Owner
5) Update record set (step 1) with new Sales Assignment
6) Provide list of Segments for Accounts for user to pick
7) Update record set (step 1) with new Segment

If this possible with a dialog without custom coding?

Thanks

I am not sure how a dialogue would help you? A dialogue would not reassign multiple accounts to new users, and a dialogue would not help you with updating the two fields because a dialogue requires user input for it to run through to completion. A workflow can update a record, but a workflow cannot update multiple fields on multiple records like in the scenario presented below. You may be able to get away with a plugin, but it would probably be best to code something to run this as a system job automatically. At my company, we sell book subscriptions, and when the subscription comes up once a year for renewal we have coded the system to auto create the opportunity, pre-populate the products from the prior order, and assign it to the appropriate owner. It works out great, and the concept would be the same of updating the fields you wish to update. I hope this helps!

This sounds like you may need to create something like an HTML web resource to render the accounts and use Jscript to perform the remaining actions based on the records selected by the users.  Otherwise, have you tried just a view of the relevant accounts and then selecting them all to reassign at once?  Perhaps you could then have a workflow fire when the account owner changes that updates the two fields on the account record with the appropriate values.  Not as user friendly as a dialog but may work if you don't want to do any customization.

Hi Lou,
this can be achieved very easily by using our product TKDialogs, in fact we have just built it in half an hour! You can also do an awful lot more.
If you want to see this or learn more contact me directly on joe.cassidy@teamknowledge.co.uk

Thanks

I would suggest you avoid using Dialogs as they are being deprecated (see below link). As an alternate option, have you tried using Actions for the variables in combination with Workflows?

Glad that helped! And please read through the whole document as several other items are being deprecated. A big one is the CRM for Outlook Client. This is being replaced by the new App for Outlook.

I will create a new post on these items so that address this.
