Clever ideas for selecting many items on a large list?

I have a requirement for our sales professionals to be able to track which competitor products a contact is using.  The list of competitor products is currently at 209 items so it would be a pretty cumbersome list to sift through.  There are 8 categories, and 18 vendors and, of course, the list is growing.

I'm wondering if anyone has seen any methods for making something like this super easy for an end user to check off items on a large list.  Capturing this data could be really valuable for marketing an analytics, but we all know it won't get used if it isn't super easy.

    Hi Jill,

The first thing that comes to mind for me is a sub-grid. With this you can create a custom lookup entity in the background that contains all the competitor products with category and vendor details. From the contact form, the user can then add competitor product items with a simple quick-add form.

Solving this with a custom entity also keeps it out of your solution files and thus allows your data administrator, or even sales staff to add items to that ever growing list without having to plan a production move.

Let me know if that helps you in any way.

    Hi Jill

Are you using Dynamics 365 CE Online?

I think this is a great use-case for using embedded Canvas Apps.  On the contact form, have a tab for competitor products and then have an embedded canvas app with an user interface designed to easily search and filter your competitor products list, select the items (checkboxes?) have the items added via relationships.  It does require some "functional" development, but not hard-core coding.

    Just a random idea. :)

    Cheers
    Nick

Just to throw something easy out there.

You could just prefix each Product with an abbreviation for the product category i.e. [ELEC] - 'full product name'

People could then just seach for each category on the prefix which would filter the list down so they can select the right things.

Would save a bit of development. No changes would be needed other than modifying the data in this case. Obviously you could do the same with a suffix but it' rely on them using a wildcard search then so might be a training issue.

We had a similar requirement, although with a lot more competitors and hundreds of products.  In our case we solved with a custom web interface driven by jscript to allow a seller to select competitor(s) and product(s).  We are in the midst of moving to the UCI interface in D365 and this is one of the functionalities that we will be looking at migrating to a canvas Powerapp so that it is scalable to a broader delivery environment (web, tablet, mobile) that the custom web interface doesn't play well in.  Given the limited number of competitors and products – you could readily deploy as a canvas Powerapp to perform multi-select with a good user experience.

Thanks for all the suggestions!  I will definitely explore the canvas app angle.

If you know a React developer, I would suggest Microsoft React Office UI Fabric.

I will be presenting this topic at Summit 2019. I will also cover on how you can use the UI Fabric in a PowerApps Control Framework.

Thanks for the suggestion!  I actually tried @Rogier Vriezen's suggestion yesterday and was really surprized at how well it worked!  I had thought of this, but the last time I really used this type of functionality to add records with a N:N relationship to a contact, it seemed pretty tedious as I believe we could only add them one-by one....that was back on CRM 2011 on prem at my last job.  Today, I'm on D365 online and using the new UUI and it was so easy!  My competitor product entity has a category, name, vendor and format so I made all of those searchable in the quick-find view and tested adding products to my contact.  It was super fast and easy to search and add multiple products after only hitting the add button once.  I'll be demo-ing it for the project team tomorrow and I think they will be happy.
