Duplicate Detection - Is there a way to dismiss/not show specific records?

  • 1.  Duplicate Detection - Is there a way to dismiss/not show specific records?

    Hi all,

Does anyone out there have a solution for ignoring contacts picked up from duplicate detection jobs (when you have confirmed they are valid contacts)? Example:

Will Harris - San Jose CA - Kaiser Permanente
Will Harris - Los Angeles CA - Health Net Inc.

Both records (different people) have been in our system for 2+ years and show up every week when we run our duplicate detection jobs. Hoping there is a way to prevent these from showing every time we run...? Any feedback is appreciated and thank you ahead of time!

    Will

    Hi,

Unfortunately there is no way to exclude records like this. if you are running dup detection every week then you don't need to include all records, you could simply include records which are modified on say last 8 days. By doing this, you will be only validating the records which are new or updated and thus old records will not appear in the results :)

    Hope this helps.

Hi - we do contact dupe detection set only on the email address since domain name plus name is usually pretty unique. I don't do the setting myself as I am the business manager for the CRM and pass these things to our support side, but I though it was a straightforward admin task.

Our users do get mighty confused with the dupe pop up windows and what they are actually doing - save or cancel or what? Thus we still get dupes - anyone know any plug ins for better dupe detection and removal?

I feel your pain Guy - one of the reasons why our team built the duplicare tool was for this very reason in relation to save or cancel!

If you would like to connect through this forum, we can take it offline and have a chat if you'd be interested? We are UK based too.

Ahhh the old exclude from duplicates problem.

I've spent a fair amount of time on this whilst helping the team build the data8 duplicare tool so I feel your pain on this sort of thing.

Using out of the box, there is a way or two you could do it but none of them are really scalable in the long run. It mostly depends on just how much of an issue this is for you and how bespoke a fix you want to do. A simpler solution would be to make a new field that you set different between the two "Will Harris" and blank for all other records and use this field as an exact match within your rule definition. Whilst manual intervention is required in a very specific way, they would at least stop coming in back in your results.

The alternative is investigate some better rules that work for you, specifically for your dedupe jobs.

Thanks Matt. I was thinking of a similar solution myself. As we do not get a gross amount of new contacts I think this is a solution that would work for us.

    Thanks a bunch!!

    Hi,

Finding a lot of duplicates is not that difficult, getting the correct duplicates, including fuzzy matches is more difficult.
Only match meaningful accounts, contacts or leads including x-reference matching is a different story and is not easy without a dedicated solution. I've been implementing this for many years (CRM2011 - D365), very specific use cases: everything the same except the contractnumber or emailaddress, or a twin with same initials, last name, dob and address. You need to be able to specify a score or match pattern per field to do this.

Let me know if you want to discuss this more in detail. I'm happy to talk about from my experience.

    Regards

    Marco
