1.  Talk to me about Dynamics Portals

I'm interested in getting more information about Dynamics Portals.  From the looks of it, you can design these to be as simple or as complex as you need.  I am considering using a portal for something, but wanted to see if anyone else had done the same or has a better solution?

We are looking for a way to track ideas, requests, and suggestions.  We need a way to correspond with idea submitters, keep track of disposition of ideas, be able to look back in history if an idea surfaces again, and get a birds eye view of all the ideas.  Some capabilities we want/need:

-a way to capture the idea from the person and track that information (who submitted, time stamps, details about the idea, priorities, etc)

-every employee should have access to submit an idea (would this cause an issue with licensing?)

-email receipts for submissions, alerts for status updates, notifications, etc.

-two way communication

-reporting and searchable fields

-security/access roles to determine who can see the ideas

I also thought of using Sharepoint, however it seems like that might not be the best solution.  Any suggestions would be greatly appreciated!

Microsoft uses the Dynamics 365 Portals for their own ideas site for Dynamics related products.

With some planning and the right architecture, you could fulfill most if not all of your requirements that you list.

If I am reading your question(s) correctly, you are looking for something to use exclusively with your internal employees?

Or will there also be interaction with 'external' users like customers?

Also, are you On-Premise or Online/Cloud?

Dynamics Portals are really designed more for you to interact with external customers that wouldn't have access to your internal Dynamics 365.

If the project is designed exclusively for internal employees, and you are Online in Office 365, you might consider the 'team member' license for your employees.  It's significantly less expensive that a full D365 license and is designed for something like this.  You could then build up a D365 'App' for Ideas and grant your employees access to this app to log ideas, track, send emails, etc.  They wouldn't be working with Sales or Customer Service apps and entities, just this custom Ideas app.

Hi Chris,
We are looking for something just for our internal employees and not from customers.  We are online/cloud.

I'll need to look more into creating an Ideas "app" and see if that may be something we could make work for us.  We would want to track all of the interactions with the idea, from conception onward, along with email alerts to the originator and to the team that will handle the discussion around the ideas.  Thanks for the input!

In that case, I would investigate getting the Team Member licenses then. It would be much simpler than developing Portals.  You may already have them as part of your O365 licenses.

You basically architect the Ideas solution in Dynamics, build an app to just show the parts / entities they will interact with, license the users, and put them in a security group that has access to those entities.

You could do both: use Dynamics 365 portals and license your employees with a Team Member license.

You can use Dynamics 365 Portals for external (non-employee) or internal (employee) users. External users do not require a license. Internal/employee users require an appropriate license depending on the entities you are giving the access to.

One of my clients has licensed all 25,000 employees using Team Member licenses so that they can raise cases for the HR service centre through a Dynamics Portal on their intranet. HR service centre users have Plan 1 licenses and use the Dynamics 365 web client.
