    Hi everyone

    I hope we're all glad January is out of the way!

    We'll likely be switching our events management to the 365 marketing app (it's going to happen) and I wonder if there's anyone out there in the London area that is already using it to manage their events who would be happy to share their experience with us?  Possibly even allow us to come and see how you use it?  Or if not London, anyone happy to webex with us?

    Yes, in the next few weeks we will be rolling out Dynamics for Marketing to manage the 300+ events we hold every year.  There have been some challenges and we have been working with the preferred Microsoft partner, Coffee + Dunn, for our implementation.  The benefit is our business development teams will be able to have access to event data within CRM, which is more transparency then we have been able to provide.  The other benefit is our distributed Marketing teams will all be using the same process to manage events, whereas before everyone has been doing things differently.

    Dynamics for Marketing includes 1 Marketing app and 1 Portal.  Then you pay based on the number of contacts you plan to market to (i.e. invite to an event), which translates into buying a bundle of "Contact Packs".  We invite about 40,000 unique people to our events on an annual basis so we currently only need 1 contact pack, which includes 50,000 contacts.

    One thing that wasn't clear in the license guide that tripped us up was we also have multiple non-production environments that we later found out we needed to purchase both the Dynamics for Marketing app for each non-production environment and a Dynamics Portal for each non-production environment.  Technically you can spin up your own portal to avoid this additional cost, but we found it easier to use a Dynamics Portal.  The portal is needed in order to provide a landing page to those you invite so they can RSVP to your events.

    The Marketing app currently has it's own release cycle, separate from the rest of the D365 products (i.e. Sales, Customer Service, Field Service, etc.).  This requires you to install the latest updates to the app by manually clicking a button within each of your environments, even if you are using D365 online like we are.  I am told this is going away soon and the updates will be pushed out automatically like they are for everything else.

    To shed some light on pricing. You do not get a portal with your marketing license - rather you get 1 subscription management marketing page that is hosted by a portal/MS.


    "You can choose to run your marketing pages, landing pages, and events website either on an external web server (such as your own CMS system) or on a Dynamics 365 Portal or Power Apps Portal running on the same tenant as your Dynamics 365 Marketing instance.     We are also looking at using this system for event management.  Has anyone used it for multi-day/multi-session Conferences by chance?

    We are on the unified interface, version 9 live since September 2019 with 250 users and use Dynamics for Marketing for all our events - allowing us to process c. 5k - 6k delegate bookings a year on a variety of passes, web bookings push directly into the event registration, although we don't process payments through it yet.  Seems to be working well for us currently.  We also use Xpertdocs for all of our event printing - name badges, sign in sheets etc.  Happy to arrange for you to have a look at our system and talk to our Training Manager/team and/or supplier.

    Hello Julia,

    There are different strategies to how you can manage the different kind of events – are they online (webinars) or in-person? For webinars, there are integrations OOTB that will push your registration information. For in-person, you would need the event portal (just a type of MS portal). Note: the portal is not included with your licenses, this is an additional cost (or MS would say optional add-on - https://docs.microsoft.com/en-us/dynamics365/marketing/portal-optional#how-portal-integration-affects-marketing-features.) What makes the portal ideal is that you are able to expose Dynamics data out to the public or require a sign in to see the data; this can be event data or any entity. If sign-in required you are also able to allow this individual to update specified information that is in the CRM (i.e. contact information, their flight/travel information, etc)

    We have implemented Microsoft Marketing for a number of clients that both use and don't use events. I can show you some samples. We implemented Team Rubicon's Dynamics, Marketing, portal, etc - https://www.youtube.com/watch?v=_W6j-Lzdq_c . They use events for scheduling out all of their volunteers for single day and multi-day/month events. 

     

    As far as success? Absolutely, if it's not out of the box, it can be customized.
