Mail Merge - field Data

  • 1.  Mail Merge - field Data

    Hi all,

I have a problem with the mail merge feature in dynamics CRM 2013: when the field of Data of Payment is merged in the MS Word template of the letter I want to compile, I get also the hour which I don't want to appear. Like this: 12/05/2013 00:00.
Is it something I can avoid using the same field or I have to change the format of the field in the CRM?

    Thank you for any suggestion.
    Enrico.

Hi, I was having this issue with a document template recently, solved it in field properties. You select the dynamic field in document, click the Properties in ribbon and then configure like following (see attachment). Hope it can be done same way for merge.

    Hi,

    thanks for your reply.
I actually don't find the properties ribbon as you showed me in the attachment.

Do I have to install any specific Add-in on MS Word?

    Thanks again,
    Enrico.

    Enrico,

Additional field formatting options can be accessed using the Word field codes.

Word inserts fields automatically when you use particular commands, such as when you insert a page number, when you insert a document building block such as a cover page, or when you create a table of contents. You can also manually insert fields to automate aspects of your document, such as merging data from a data source, performing calculations or selecting a desired format.

Here is an example for a Date field from the MS Support article I included below:  https://support.office.com/en-us/article/field-codes-date-field-d0c7e1f1-a66a-4b02-a3f4-1a1c56891306?ui=en-US&rs=en-US&ad=US

    Field codes: Date field

The Date field inserts the current date.

When you click Date & Time in the Text group on the Insert tab, Word inserts a Date field.

You can also insert a Date field in the body of a document by doing the following:

    1. On the Insert tab, in the Text group, click Quick Parts, and then click Field.

    2. In the Field dialog box, under Field names, click Date.

Note: The Date and Time fields can display a date, a time, or both, depending on the format you specify in a date-time picture switch.

    Syntax

When you view the Date field code in your document, the syntax looks like this:

    { DATE [ \@ "Date-Time Picture"] [Switches] }

Note:  A field code tells the field what to show. Field results are what is shown in the document after having evaluated the field code. To toggle between viewing the field code and the field code results, press Alt+F9.

    Switches

    \@ "Date-Time Picture"

Specifies a date format other than the default format. If you select a format in the Field dialog box, Word inserts a corresponding date-time picture switch.

To use a format that's not listed in the Field dialog box, click the Field Codes button and type the format switch directly in the Field codes box.

    \l

Inserts the date with the last format that you selected in the Date and Time dialog box.

    \h

Specifies use of the Hijri/Lunar calendar.

    \s

Specifies use of the Saka Era calendar.

    Examples

    { DATE \@ "dddd, MMMM d" } displays Saturday, November 26

    { DATE \@ "h:mm am/pm, dddd, MMMM d" } displays 10:00 AM, Saturday, November 26

    Hi Patrick,

I'm not sure if I understood correctly your suggestion. I don't have to insert an additional field or a Date Field in the document. I want to change the format of the merge field which contains a date taken from the CRM. can I make this change in the document and how? or is it something I have to change in the field in CRM?

    thanks for your support,
    enrico.

    Hi Enrico,

To answer the question about the "Properties" option above: Those are available on the "Developer ribbon" which is not visible on default:
How to: Show the Developer tab on the ribbon - Visual Studio
    Microsoft remove preview
How to: Show the Developer tab on the ribbon - Visual Studio
This guidance applies to Office 2010 or later applications only. If you want to show this tab in the 2007 Microsoft Office System, see the following version of this topic How to: Show the Developer tab on the ribbon.
    View this on Microsoft >

From there you can change the format as described above.

    thanks! Michael
