    Hi all,

    I'm hoping someone can help me resolve an issue we have with contact records being automatically created.
    We are on Dynamics 365 Online v9 and using Server-Side Sync and App for Outlook (and previously the Outlook Client add-in).
    We aren't using Automatic Record Creation and Update Rules.
    I believe we've always had this problem but its gotten progressively worse where we are getting anywhere from 50-300 contacts automatically created each month.

    The contacts are being created and owned by the SYSTEM user as a result of an email being received in one of our queues.

    3 big problems with this is that the contacts aren't attached to an account, they sit at root level and they are normally from spam senders.

    I can't find anything obvious in the System Settings under the Email or Outlook tabs.

    Anyone know what setting(s) might be behind this or know of a way to mitigate the problem?

    I had a similar issue and I had to work with Microsoft support to begin solving this issue.

    They had me download the EWSEditor to find the email that had been created in CRM.
    EwsEditor 1.20 released.
    I was able to get the details of the message from this.

    They found that there was another internal mailbox that was forwarding messages to a mailbox that I had set up a queue against.  We removed that forward to solve this issue - but then it happened again on some unrelated mailboxes. The EWSEditor didn't really help me as much I need so I still would need MS Support if I want to clean up these additional mailboxes.

    I ran into this recently as well.  One other thing to check is the indivudual user Personal options for automatically creating contacts.  You can see this option by going to your personal options, email tab, there is an option to 'automatically create records' on that page.  Anything created there has the 'SYSTEM' user as the created by.

    You can use the XRmToolbox plugin 'User Settings Utility' to find users that have that option set.

    Using the XRM User Settings Utility, I've reset it to the below for all enabled users multiple times, but Contact record being created by System still keeps on happening for me with one user. What's worse - it creates dupes in the Contacts entity - despite there being a rule against this.

    @Mark Aston - I would second what @Chris Harrington posted. Using the XrmToolBox "User Settings Utility" would be the way to go. ​​

    If the User Setting isn't working for you (we had a similar issue) you can create a Workflow that runs on Contact create, checks the Owner of the record, and immediately inactivates it. There will still be "bad" data in the system but at least it will be hidden from the majority of users and processes.

    Great, thanks @Chris Harrington, @Donal McCarthy and @Aaron Back, MCSE.  I've updated the users settings in XRM ToolBox.  There's a handful of users where I get the below error and it won't save the changes.  Have you seen this before?

    I wasn't sure whether to amend the user settings for users generated by the system that have an administrative licence or our service account.  I'm tempted to leave them alone but grateful for advice.

    @Meghan Deaver thats a really good idea to set up a workflow, i'll looking into creating that.​

    Hi Mark

    There are a serious of settings which are set globally on an organisation within Dynamics 365.

    AutoCreateContactOnPromote is your setting, by default this is set to true and hence the automatic creation of a contact record

    Do you have a sandbox instance it would be worth trying this out in a sandbox environment.

    Hi @Abdul Majid, thanks for the info on AutoCreateContactOnPromote.  As I've changed all the users personal settings using XRM ToolBox, would this setting still something I should change?  Will it affect contacts created by the SYSTEM user which is a user I can't access via XRM ToolBox.

    I finished deleted contacts with no business value and moving those contacts to the correct account yesterday afternoon.  By the time i'd left there were 3 new contacts created by SYSTEM.  One for for a noreply email and the other 2 were Microsoft Exchange undeliverables.  Sounds like this might be to do with what @Travis Judd and @Ben Trappel​​ experienced and probably need to get Microsoft involved to diagnose.

    This is a setting that is not available via the Dynamics OOB interface.

    There is a Dynamics 365 solution that is available to help you change this setting globally for the organisation.

    Once the solution has been imported, it provides its own interface that you may use set the Organisation Setting : AutoCreateContactOnPromote.

    The setting is on be default, which you would have to turn off, to prevent contacts being created automatically.

    I can give you a demo, as I have done it on my organisation.

    If you feel more comfortable putting a ticket into MS that would be fine too.

    Just as an fyi,

    I spent about 8 hours with Microsoft and the exchange team to track down the exact mailbox that was causing the issue.  The entire process with Microsoft started on 3/26/2018 and ended 5/1/2018 when we were able to finally locate the issue.

    First was locating the email messages origin (trekstorehopperscrossing) which is an email that dynamics doesn't watch/
    Then figuring out which queue was creating the message (customerservice_australia)

    This request from our enterprise systems global admin ended up resolving the issue.

    Perhaps this will save you some time if you can figure out these things and see if forwarding is turned on.  Interested to know if this fixes it or if it was something else.

    Turning this flag off AutoCreateContactOnPromote, will capture all.

    I had the email coming into a queue, I switch off the switch AutoCreateContactOnPromote and contacts were no longer being created.

    This is a techy solution.

    But your welcome to double check this setting with Microsoft.

    Hi @Abdul Majid, i'll be going ahead with installing OrgDbOrgSettings (although I need approval first) into our Sandbox before deploying to Production.  Is GitHub (https://github.com/seanmcne/OrgDbOrgSettings)​ the best place to get the managed solution .zip?

    If you scroll down on this page, their is a link to the releases which is the following:

    Its the release solution you need to get.


    OrgDbOrgSettings
    Its a managed solution so you will be able to remove it completely after you are done with it.

    So the idea behind installing the solution is so you may admin these settings.     Thank you @Abdul Majid, I notice the file name has 8.0 in it.  ​We're on Dynamics 365 Online v9.1.  Do you happen to know if it is compatible with v9?

    Hi Mark, I recently had the same problem and found that the contact was created based on an email sent to a Shared Mailbox which was attached to a Queue.
