    We are transitioning to CRM and our users have a lot of lists that they wnat to use for campaigns. These are typically all in CRM so they just go through and do a search on the email address and add them to the list.  Is there a way to import the list so that it searches for that contact in CRM?  Trying to find an easier way to do this orther than manually adding one by one.  thanks!     Hi Laura, This is not possible with the out-of-the-box features, which is why we added this functionality to ClickDimensions. Our Import Tool will allow you to import an Excel file and if the contact already exists, add it to a specified marketing list. If the contact does not exist, it will be created and then added to the marketing list.

    Laura, If there is a specific criteria(or pattern) that these contacts follow, then you could setup a Dynamic Marketing List. Once you do that, you don't need to add them one by one. Any contact that follows the patter will automatically be associated with that Marketing List.

    If you staff has their lists imported into CRM, then use advanced find to group them, highlight those records and click 'add to marketing list'.  It's pretty easy.  You should also save the advanced finds so your staff can get back to their list anytime they need it.

    If the staff does not have their contacts in CRM, once you import them, do an advanced find on when they were imported, then follow the above steps.

    Actually you do not need to do an Advanced Find if you use the native import functionality in Dynamics. Just open the Import job (Settings >Data Management > Imports) and view the imported Contacts in the related "Fully Imported Contacts" list. Select them, and you can add them to a marketing list with the button:


    The limitation with the native import feature though is that when you are importing you have the option to import all the contacts and ignore any duplicate detection rules, or to prevent duplicates.

    If you choose the first option, you can end up with a bunch of duplicate data in your Dynamics instance, and the original Contacts that were already in Dynamics are not easy to find if you want them on a marketing list. If you choose the second option your import job may not have all the Contacts on it that you had in the Excel file you started with, and you would have to manually go find the ones that already exist and add them to a list. This is the primary scenario that caused us to create the Import Tool feature in ClickDimensions, so that you do not end up with duplicates and you do not have to go find the contacts that already exist in Dynamics.

    @Matt Wittemann​, I have a follow up question. If i have a list of email addresses, can I import that and create my marketing list? It would match up to the email address on the contact record. Trying to figure out how to make this work, seems like it should be possible!

    That's not possible with the native Data Import wizard in Dynamics. You would have to import them as new Contacts, but then risk ending up with duplicates. The ClickDimensions Import Tool would handle that for you.

    HI @Matt Wittemann, I am trying to use the CD import tool and am struggling as to where I attach the file - i do not see that as an option?  I see something that says "Import File" on the form, but it is a text field, not a field where I could select my excel (CSV) file.??

    Hi Laura, Sounds like maybe you started by creating an Import record, instead of clicking one of the buttons to launch the Import Tool wizard. Have a look at the following article, and if you're still having difficulty finding the upload file button, maybe reach out to the CD support team for assistance - they're quite helpful!

    Hey Laura,

    As Matt mentioned, that link should help! You'll need to download the template first, add all the contacts you want and additional info if needed, then import that file into the wizard.

    I did get it figured out - thank you! :) Currently we are only importing those that are already in CRM but we will want to eventually create leads and I may have additional questions at that time! thanks for the follow-up!

    Something I've done in the past for lists of email addresses is import tasks and match on email address for the regarding contact. Then add to marketing lists anyone with that associated task. Afterwards, I delete the tasks.

    PS I'm a transplant from Kansas City, MO living in NYC now.

    Thanks for the reply @Tod Story that is a great suggestion!

    What does CRM do if that email address is not found?  I hope you tell me an activity just wont be created!

    Also, to create the activities, do you just import the activity and match on the email address?  We do have a few contacts that are in CRM multiple times - will it just pick one of them?​

    It won't create the task if the email address is not found or if the email is found more than once. I kept a .csv on hand that had two columns: Topic/Subject and email (for matching).
