Sync tasks from Outlook to CRM

    Hi CRMUG,

    There are a variety of settings that we've configured and tasks are successfully syncing from CRM to Outlook.  However we are having trouble syncing the other way.

    Our main use case is that we have mobile users that want to stop using Google Keep and start using Microsoft To-Do to keep track of their to do list.  Microsoft To-Do automatically syncs into their outlook, but we are having trouble getting the data to sync into CRM onto their dashboard.

    Notes on configuration:
    Tasks are successfully syncing out to Outlook.

    Just today we turned on this setting

    But after five hours we are not yet seeing Tasks come into CRM.

    Syncing is set to both ways

    Any suggestions before I put in a Microsoft Support request?

    Hi Travis,

    Try checking your system/user filters to make sure nothing is blocking the tasks from syncing with Outlook.  You can check this for your account by going to Settings > System Settings > Synchronization (tab) > system filters (link).

    Also, if you are an administrator, the easiest way I found to manage user filters is using the Sync Filter Manager plugin in the XrmToolBox.

    As a word of caution, since Appointments, Contacts, and Tasks are all bundled into the same synchronization setting, be careful you are not syncing more than you want.

    If you make the task directly in Outlook, does it sync?

    Good question.  If the task is created in Dynamics and syncs to Outlook, changes can be setup to be two-way.  If the task is created in Outlook, however, my understanding is it will not sync to Dynamics--at least with out-of-the-box configuration.  Someone correct me if I am wrong.

    I have heard there are ways to achieve an Outlook to Dynamics task creation sync, but I have not done this personally.

    Thanks everyone.  No tasks created in outlook are syncing to CRM.

    If a task was created in CRM and synced to outlook.  Changes to that task in outlook are syncing to CRM.  So I know the two way sync is working.

    Correct me if I'm wrong - but from what I'm understanding is that there is no out of the box functionality that allows tasks created in outlook to sync into CRM.

    Hi Travis,

    ​Should not be the tasks Tracked? When we create a task in Outlook, it does not sync with CRM until you use the Track or Set  Regarding button.
    We are using the Outlook Add in, I do not know if it is the same with the Dynamics App using Server Side Sync

    We are using the Dynamics 365 App for Outlook

    and not Microsoft Dynamics 365 for Outlook  (I believe this is the 'Outlook Add in' you are talking about)

    (The first one of these below)

    I'll keep researching with the idea that Tasks will not sync if created in outlook.
