    Hello,

    I'm hoping someone can help me figure this out.
    My solution I created in sandbox unfortunately didnt carry over to production so I had to recreate all my workflows etc. I am hoping I am just missing a small step.

    I created a new entity for our contracts called agreements. When I test in live the contract/ "agreement" is created once I close an opportunity as won but I am now having issues getting my email notifications to run. It works on the agreement email- but my proposal sent email wont trigger.

    I thought I could just use the one I have because its running off the opportunity and the proposal sent date field on that form. but nothing happens when I run it.

    I need an email to trigger for proposal sent and when the user closes an opportunity as won. I dont know why the proposal email wont trigger.
    any advice?

    Heather,

    I've seen a problem happen when the CRM user who is sending the email doesn't have it enabled in the environment you're using.  So if you use the mailbox for CRM User 1 in Sandbox, then when you move to Production the mailbox for CRM User 1 is still active in Sandbox and not in Production.  You need to activate/re-enable the mailbox for CRM User 1 or change users.  The mailbox can only be enabled for one environment at a time.  Maybe this is happening for you?

    thank you @Jonathan Blackham I did check my sandbox email notifications and it looks like its failed so that's not it. but I didnt realize that was a rule... so good to know! I am getting my email notifcations for test proposals and contracts won when I am on the contract entity. so I know its something with the proposal email workflow. just cant figure it out.

    Does the email create a draft or just not trigger at all?  If draft then Jonathan is correct.  Can you take a screenshot of your workflow for better analysis? Thanks

    Heather, is this a traditional workflow?  If so, and it is running in real-time, convert it to a background workflow and uncheck the box regarding purging successful runs and try the action again.  This will help you determine if the workflow is being triggered and give you an indication if all of the steps are completing.  I agree with Jonathan that it may be related to the mailbox.

    Heather, since this is also an on-demand workflow, if you trigger the workflow, does it work?  Switching it to a background process means it will run with system privileges and not a specific user.

    @Jim Lorrig I'm back to where I started.. argh. so I had another user go in and create a test opportunity to close out. well, I got her proposal sent email, but it gave her an error message trying to close the opportunity out so then I went into the workflow and  ​saw it was in real time, so I changed it. well it closed out but now the email wont trigger for the agreement won notification that goes out and the agreement doesnt create either. I am at a loss. It worked for me but since I am the user and admin I wanted another user to test it. glad I did.

    here is the opportunity agreement workflow- I made it run in background now but the agreement doesnt get created but the opportunity just closes for this user.

    Heather, it will be difficult to troubleshoot this via the forum.  Based on what you are describing, my assumption is that there are security privileges that are different between your production and non-production environments.  I would switch both workflows back to real-time as they were, and find the security role(s) assigned to the user that received the error, or where the workflow didn't trigger.  Compare the security role(s) between the environments.  Since you added a new entity, I am assuming that a security role got promoted with the change to grant access to the new entity?  Perhaps other changes were made to that security role in the non-production environment, and when the security role got promoted, it removed the privileges needed for the workflow.

    @Jim Lorrig  thank you!! I completely forgot to give privileges to the new custom entity. I am def glad its a Friday!!! so I did go back and change the workflow again and added security roles. thank you thank you thank you!!!   ​

    @Jim Lorrig I thought it worked but turns out it only works when I am testing it. I had a user try it out and two things are happening/failing: #1 the agreement notification email is coming over in my name even though she closed the opportunity as won.  ​​#2 the agreement is not being created when she tests it out. When I try to create and close an opportunity everything works. the agreement is created, and the email notification goes out in my name. However, I am defaulting to the owner for everything- esp when another user is trying to test for me.
    I have no idea why this is happening. I checked the security roles and now gave access to custom entity like you suggested on Friday. ​

    @Heather Laughlin,

    It looks like the workflow is being triggered by your user, but it is executing as you, the workflow owner.  Try changing it to a real-time workflow and then changing it to run as the one who triggered the workflow instead of the workflow owner.​  There are some subtle trade offs between real-time and background workflows so you may have to refactor how your workflow runs in order to make it run as your user.

    You can also have workflows trigger a child workflow to take advantage of the capabilities of real-time and background workflows.  That might be something you can use to refactor your workflow to make it work correctly.

    thank you! I actually realized yesterday there were 2 salesperson fields for some reason and that is why it kept going out in my name only. we renamed the one field and then it worked.
