New system user records created on July 4th

  • 1.  New system user records created on July 4th

    I'm wondering if anyone else saw some new user records created by Microsoft (presumably) on July 4th.  The following 4 user records appeared in our environment (production and sandboxes) on Saturday and are interfering with our integration.  We are not able to edit or delete these records.

    Yes - They all also appeared in my Dynamics 365 online demo environment:

    @Patrick O'Donnell thanks for the reply!  Are they just in your demo - not in any production environments?  And I only see 3 of the mystery accounts in your screen shot - did you have the 4th one, too?​

    All four are in my environment (my last screenshot only showed 3 of them).  And my demo environment is actually a type "production" environment.

    Hi @Jill Vazquez, ​​all 4 users are present in all 4 of our environments.  They were created by SYSTEM on 27/06/2020.  Let us know what Microsoft say.  Thanks.

    I just got off a call with the technician working on our case.  Apparently the issue had already been reported so the development team is already aware and working on it.  The technician wasn't able to give me any information on the timeline or the intended purpose of these records but I have requested that information and will update here.

    The notes the dev team had on the existing support case were:  "currently this is by design, but the behavior needs to be improved, 1-remove applicationusers from enabled users?  2-donot promt for missing security roles for application users?"         I have added the request that they populate something in the first name field.

    Both first name and last name are required fields for users in our environments - since I inherited this system and don't currently have an active trial environment, I am curious....are first and last name required field out of the box?

    I have these 4 as well. I believe first name and last name is required OOB because it is in mine, and I never messed with user records. Thanks for digging into this!

    Hi Jill~
    Yes - all 4 accounts were added to our Dev, Test, and Prod environments between July 4th and 5th.  So, did Microsoft say that we are to have the accounts removed/deactivated or leave them as-is?

    Thanks for letting us know about this!  You've saved many people from doing a lot of digging.  It's much appreciated.

    @Elaine Bardzil currently we are not able to modify these user accounts  ​in any way.  Microsoft will be modifying these at some point, but I don't have an ETA on that yet. I'll definitely keep everyone updated as we receive additional details.

    I logged my ticket with Microsoft on Monday morning and here it is Thursday morning and we have gotten almost nowhere.  My manager (who also oversees all of our integrations) got involved late Tuesday morning and Microsoft has escalated the issue further and further up the chain, yet the update we got this morning only says


    "We are yet to receive the updates from the product team on this issue. We are following with the product team on top priority. We will keep you posted once we hear the updates from them. Thank you!
    "

    Yesterday, we asked the following questions and received the following answers:

    Q: Can you please provide me with an explanation as to why you would add a user to our environment without any notification or testing prior to doing so?
    A: The addition of the users in this case is under investigation and the team is now identifying the root cause that led to this. From my understanding, they were added as part of recent update which you have mentioned. I reviewed the backend work item with engineering team and they are looking into the reasons that could cause failures. I have also escalated the same from my side and our 24/7 team is constantly monitoring the issue to provide you the updates.

    Q: Why has it been 5 days and your team is just asking questions about impact as opposed to removing or modifying the user in our environment?
    A: 
    The issue description/details are need to fully engage the team for resolution and to expedite. Now that we have the full business impact available we have engaged the dev team to look into this matter with urgency. We will continue to provide you updates on the status as we learn more.
    Additionally, those new system users seems to be added for backend work that is related to new updates. The strange part is that it is impacting your integrations. Out engineering team would have tested those updates, but your integration scenario my be a special case


    Our integration was designed to only look for real users based on the first and last name not being blank and another custom field not being blank.  The addition of these 4 user records called out a deficiency in our logic in that the first names in these records are not blank - they are null - so that is what threw things off for us.  The most frustrating part is that we still have no idea why we all got these user records created in our environments or what their purpose is.

    Jill have you noticed an issue I've had since these users were added? If you add a new user to Dynamics, normally they display in the "Assign Roles" yellow bar at the top of the screen so your immediately alerted once they become available for you to assign security roles, etc. to. Well, now it's only those 4 users that display. I actually have to go into "Enabled Users" view in Users Entity and search for the person by name to locate the new user to assign security settings to. Ours is synced with Active Directory that's managed by another IT group so having to go through these steps to see the real new users that need access is quite painful.

    @April Conner I have not noticed this as I don't typically pay attention to the assign security roles message.....mine shows a ton of disabled users from before my time!  I think MS may be aware based on what was already logged in another ticket before I logged mine. ​ However, I strongly encourage you to call in a support request for your specific issue....they say the squeaky wheel gets the oil but I think we need more squeaky wheels!!

    @Jill Vazquez @April Conner as a general advice from MS - they want to have things reported as support tickets even though others have reported it. Volume counts and they should be able to link the tickets to the same root cause and solution.
    So I would definitely recommend creating your own ticket as Jill says! If you even exchange ticket ids to refer to that would help MS even more to speed up the process.

    I found this https://docs.microsoft.com/en-us/power-platform/admin/system-application-users

    Application users are created during system provisioning for setup and configuration management. Application users can also be used for performing back-end services.

    Most of these users are hidden from user views but they can be found by using the Advanced Find on the Users entity. Do not delete or modify these users including changing or reassigning security role.

    Hi all

    We too have had these users added to our system although, looking at things a week prior to you guys, matching the date @Mark Aston gave- perhaps it's a locality thing!

    Interestingly, I have also noticed fields within my environments which I hadn't noticed before, titled version number.  I have to be honest and say I don't know whether they were there previously or not.  However, given the user names seem to be linked to transfer of data between CDS and DataLakes and that the pieces I have read mention this level of integration allows change tracking, I do wonder whether the two are linked.

    @Matthew Vizor I know the version number field existed before, but we couldn't see it from the user interface.  Our integrations architect was able to see that field in SQL and in his integration tool (Dell Boomi) - we had some discussions about that.  This is far outside of my area of expertise but I think it was something like when a record is touched by the integration, it creates a backend copy of the record as each change is made so he could call a version number or set the integration to use the highest version number. I'm guessing there's documentation about it somewhere.​

    Our final update from Microsoft came on Tuesday afternoon:

    "We got an update from our internal team that you need to exclude non-interactive users for their integration and that is the only solution for now.

     

     And we are sorry for not notifying you in advance. We have given this feedback to the product team and they were sorry for the inconvenience caused and agreed to send notifications to customers before any such releases."
